How Much Does CRM Setup Cost for a Small Business?

Here is a question I get a lot: "How much does it cost to set up a CRM?"
Fair question. The answers out there are not great. Some people say free. Some say $10,000. Both can be true, and neither helps you budget.
So here is the honest breakdown. Three costs, what a good setup includes, and how to tell if you can do it yourself.
The short answer
For a small business with 1 to 10 people:
- Software: $0 to about $40 per person per month for the plans most small businesses need.
- Setup: $0 if you do it yourself. Low to mid four figures if you hire someone, and more if you need custom connections between your tools.
- Your time: a few hours a week for the first month. This one is not optional, no matter who does the setup.
Cost #1: the software
List prices as of October 2026, billed annually. They change often, so check before you buy.
- HubSpot: the free CRM is a real starting point. The Starter plan is about $15 to $20 per seat a month. Professional is a big jump (about $100 per seat for sales) plus a one-time onboarding fee of $1,500 to $3,000 per hub.
- Pipedrive: no free plan. About $14 per seat a month for Lite and $39 for Growth.
- Zoho CRM: free for up to 3 users. Standard is about $14 per user a month.
Here is the trap. Professional plans get sold hard, and most small businesses never need them. Start on free or starter. Upgrade when you hit a real limit, not a feature you might use someday.
Cost #2: the setup
This is where the money goes, and where most CRMs quietly fail. A good setup includes:
- A map of how leads reach you. Every form, call, email and DM.
- A pipeline with stages that match how you actually sell. Not the default template.
- Clean contacts. Imported once, duplicates out.
- Your website forms and email connected, so new leads land in the CRM on their own.
- Booking and payments connected, so the record updates when someone books or pays.
- Two or three automatic follow-ups. A fast reply to new leads, a nudge on quiet quotes, a review request when the job is done.
- A short training for the people who will use it.
Steps 1 to 4 are very doable in a weekend. Steps 5 and 6 are where people get stuck.

Cost #3: your time (the one nobody budgets)
A CRM only works if people use it. That means someone has to own it.

Budget a few hours a week at the start. After that, about 30 minutes a week to keep it honest.
Can you do it yourself?
Yes, if:
- You have fewer than five people using it.
- Most leads come from one or two places, like your website form and email.
- Your CRM connects to your form tool without any extra software.
Get help if:
- Bookings or payments need to sync with the CRM.
- You are connecting three or more tools.
- You have already tried twice and it did not stick.
